HR & Payroll for Manufacturing

Shifts, overtime and contract labour on one payroll.

Plant workforces mix permanent staff, contract labour and shift patterns that change weekly. The administration burden is shift-linked pay and the statutory obligations that come with a factory workforce.

What makes Manufacturing different

Rotating and night shifts

Rosters change weekly, and night-shift and overtime allowances have to compute correctly without manual entry.

Contract and permanent side by side

Two workforce types on one site, with different pay rules and different statutory treatment.

Biometric attendance at scale

Gate-level devices feeding thousands of punches a day into a payroll that has to close on time.

Who you actually employ

Almost every difference in Manufacturing HR comes back to how the workforce is composed.

Permanent workmen

On the company rolls, usually under a settlement or standing orders that fix shift and overtime terms.

Contract labour

Supplied by a licensed contractor. The principal employer still carries statutory obligations for them.

Staff and supervisory

Monthly salaried, outside the shift and overtime structure that governs the shop floor.

Attendance & shifts

Gate biometric, high volume, feeding a shift-linked payroll

Attendance is captured at the gate for thousands of punches a day, and the number that matters is hours against the assigned shift — because overtime beyond the standard shift is a statutory entitlement, not a discretionary payment.

Shift patterns that occur here

  • General shift
  • Rotating A/B/C
  • Continuous process
  • Overtime beyond standard hours

Payroll considerations

PF, ESI, PT and TDS apply everywhere. These are the components and statutes specific to Manufacturing.

Pay components

  • Overtime at statutory rate

Computed from hours beyond the standard shift, at the rate the applicable law sets.

  • Shift allowance

Differing by shift, applied from the roster rather than entered manually.

  • Production or attendance incentive

Where a settlement provides for it.

Statutes on top of the universal ones

  • Factories Act — working hours, overtime and statutory registers
  • Contract Labour (Regulation and Abolition) Act for contractor-supplied workmen
  • Industrial Employment (Standing Orders) Act where applicable

The workflows that carry the weight

Not every HR process matters equally. These are the ones Manufacturing teams spend their time on.

1

Contract labour compliance

Contractor staff need attendance, wage and statutory records maintained against the principal employer — the obligation does not transfer with the employment.

2

Shift roster and overtime

Rosters change weekly; overtime and shift allowance derive from the roster actually worked rather than a separate calculation.

3

Statutory registers

Factories Act registers maintained in inspection-ready formats.

What this looks like day to day

For employees

  • A workman checks overtime for the month

Hours beyond the standard shift and the resulting overtime are visible before the payslip, not after it.

  • A shop-floor worker applies for leave

Mobile application with the balance shown, for a workforce that does not have a desk or a work email.

For managers and HR

  • A shift supervisor checks line coverage

Who is present against who was rostered, per line and per shift, live rather than at shift end.

  • HR prepares for a contract labour inspection

Attendance and wage records for contractor staff produced against the principal employer.

Manufacturing — common questions

Can contract labour be administered alongside permanent workmen?

Yes. Contractor-supplied workmen carry attendance and wage records against the principal employer, which is what the Contract Labour (Regulation and Abolition) Act requires, while remaining separate from your own payroll.

Is overtime calculated at the statutory rate from the shift roster?

Yes. Hours beyond the standard shift compute at the applicable rate from the roster actually worked, so overtime and shift allowance are a consequence of the roster rather than a separate month-end calculation.
