What is HR admin actually costing you?
Put in your own headcount, hours and costs. The calculator shows what that admin time costs today and what it could be worth to remove some of it — using assumptions you can see and change, with the arithmetic published on the page.
These are your estimates, not our measurements. HRZyra has not published time-savings data, because we do not have a verified before-and-after dataset to publish. Every percentage below starts at a figure we think is reasonable and you can change all of them. The result is arithmetic on the numbers you enter — nothing else is folded in.
Your numbers
Nothing here is sent anywhere. It stays in this tab.
Everyone whose attendance, leave and pay you administer, including contract staff.
People doing HR admin. Half a person is a valid answer — enter 0.5.
Fully loaded monthly cost of ONE HR team member — salary plus employer contributions. Not the whole team.
What you pay now for HR or payroll software, plus outsourced payroll fees. Per month.
Where the hours go
Hours per month across the whole HR team. Most people have not measured this — estimate, then correct anything that looks wrong.
Collecting punches, chasing missing entries, fixing registers, regularisations.
The run itself, PF/ESI/PT/TDS computation, checking, corrections, payslips.
Balances, accruals, carry-forward, encashment, correcting the leave register.
Headcount, attrition, cost, statutory returns — assembling them, not reading them.
Assumptions
Every one of these is yours to change, and the results below update as you do.
Collection is the mechanical part and it is the bulk of the work. Chasing a missing punch and approving a regularisation still take a person, which is why we do not start this at 90%.
The run and the statutory computation automate. Deciding an off-cycle adjustment, checking a new joiner’s structure and answering "why is my salary different this month" do not.
Balance arithmetic, accrual and carry-forward are pure bookkeeping and go away entirely. The approval conversation does not.
The highest of the four, because assembling a report out of spreadsheets is almost entirely mechanical and a query that runs on demand removes nearly all of it. Reading the report is not admin, so it is not counted here.
Used to turn a monthly salary into an hourly rate. The default is 176 — 22 days at 8 hours. Raise it if you run a six-day week.
We publish no prices, so this starts at zero and is yours to fill in once you have a quote. Leaving it at zero shows the saving BEFORE what the software costs — which is not the number you should make a decision on.
